So, after talking about Copilot chat in Teams, there is a whole other Copilot and Teams function area to discuss. While Microsoft might summarise this as: “Copilot in Microsoft Teams brings together data from your documents, presentations, email, calendar, notes, and contacts.
I would argue that the main benefit of Copilot in Teams relates to meetings. Again, it does do all those other things, but the power I have seen in this platform has been in its meeting functionalities.
If you’ve used Copilot in Teams, you would be aware that you can turn on transcription and recording in meetings. What this does is create a recording as well as a transcript of the meeting. Shocking, I know. This in itself might seem underwhelming. However, this transcript is where Copilot starts to generate its value. It can summarise meetings and create follow-up tasks immediately after a meeting, which is impressive.
Before we begin, I will highlight a couple of quick things that will save you some time and heartache:
If you have recording and transcription turned on during a meeting, you can open Copilot in that meeting and start querying it about the conversation happening directly in front of you. Imagine if you were in an interview and unsure of a candidate or where you stand in the middle of listening to someone speak. You could prompt Copilot and ask, "What questions haven’t I asked this candidate, and what should we be driving towards based on the description provided in the meeting?".
Or let’s say you work in technology, and you may not be a specialist or overly technical (not that I’m referring to the person writing this blog). In that meeting, there may be a lot of technical terms thrown around. Now, imagine being able to ask Copilot to identify potential remediation recommendations, explain why an issue is happening, and suggest the potential next steps, all live during a meeting. Would this add value to you or your organisation?
Now, I am not saying the information or recommendations it will provide are flawless. Again, it is a tool to enable you to do more with what you currently have, but validation is always required. Is this better than what you had to start with?
Next, I’ll talk about Copilot in Teams after a meeting. Everything I’ve mentioned so far highlights the value Copilot adds during a meeting, but there's even more value to be derived from recording and transcribing meetings.
There are some incredibly valuable things you can do with this function. Being able to go back and query a meeting after it's happened provides a retrospective review and analysis on conversations that were had, which can be invaluable. Even when I’m considering this, I see two main use cases here: broad analysis, and deep analysis of a meeting.
One of the main things I use Teams meetings and recordings for is using Copilot to create broad artifacts based on a meeting. Some examples of these might be after an internal meeting; creating a process document; or using Copilot to help me define the objectives, business pains, and the value we can provide to a customer based on the words I have said throughout a meeting.
Often in internal meetings, we can discuss particular issues or business problems we may be dealing with. I then engage with the resources responsible for that stream of work, understand best practices for delivering it, understand the steps involved, and use Copilot in the Teams meeting to provide the correct business process to support this. This can be provided to other team members through a wiki or whatever form you use to streamline and ensure that those business processes and issues do not occur in the future.
Looking at external use after a meeting, I will get Copilot to summarise the meeting and provide follow-up actions; however, what more can we do? What if we had a sales meeting with a customer and discussed one of their business problems? I could then get Copilot to create what the objectives were the customer was working to, business plans they have, and the value that we could help them with.
Once I had this, I could then use this information to draft a proposal and provide any other supporting information. Every piece of collateral that I create is customised based on that specific meeting and customer requirement, unlike most other proposals which get presented as cookie-cutter, generic, and missing the point.
For deep analysis, I can see a few use cases. As an example, after a meeting, team members might have slightly different ideas about what the priorities are. Query Copilot directly to confirm exactly what was said about a specific point and provide more detail and context about its importance.
I’ve also had instances where I’ve been speaking with customers or partners when something is mentioned in passing – whether it could be funding plans, potential competition, or feelings around certain requirements. Being able to get a lot more information from a very short snippet of a meeting is unbelievably powerful.
So, what’s the big takeaway? Copilot in Teams isn’t just another shiny tool; it’s a practical way to make meetings more productive for you. Sure, it can pull info from documents and emails, but the real magic happens in meetings. From asking smart questions on the fly, to digging deep into transcripts after the fact - Copilot turns those conversations into actionable insights. Whether you’re ironing out internal processes or crafting a proposal that actually speaks to a customer’s needs, this isn’t about replacing your work, it’s about amplifying it. Bottom line: if you’re not using Copilot in your meetings yet, you’re leaving a lot of value on the table.
